What this notice covers
It covers personal information we collect through this website, by email or telephone, and in the course of carrying out an assessment at a property. It does not cover other websites we link to — they have their own notices.
What we collect, and why
| What | Why we need it | Lawful basis |
|---|---|---|
| Your name, and an email address or telephone number | To reply to your enquiry, quote for the work, and arrange an appointment | Steps taken at your request before entering a contract |
| The property address or postcode, its type, and any detail or deadline you tell us | To price the work accurately and carry out the assessment | Steps taken at your request before entering a contract, then performance of that contract |
| Which services you are asking about | To send the right assessor with the right equipment | Steps taken at your request before entering a contract |
| Information gathered during an assessment — measurements, photographs of the building and its systems, meter and appliance details | To produce the certificate, assessment or calculation you have instructed | Performance of our contract with you, and our legal obligations as an accredited assessor |
| A one-way scrambled form of your IP address, and your browser's user-agent string, when you submit the enquiry form | To stop the form being abused for spam. The scrambled value cannot be turned back into your IP address | Our legitimate interest in keeping the form usable |
| Records of the work we have done and invoices raised | Accounting, tax, insurance and professional accreditation requirements | Our legal obligations, and our legitimate interest in defending a claim |
We do not ask for, and have no reason to hold, special category information such as health data. Please do not send it to us. We do not use your information to make automated decisions about you, and we do not profile you.
Who we share it with
We do not sell your information, and we do not share it for marketing.
- Accreditation schemes and public registers. Assessments are lodged as the scheme requires — an EPC, for example, is lodged on the Scottish EPC Register, where the certificate and the property address are publicly searchable. That is a legal requirement of the certificate, not a choice we make.
- Our accreditation body. Elmhurst Energy may audit our work, which can include reviewing the records behind an assessment.
- Our hosting and email providers, who process information on our instructions so that this website and our email can operate.
- Our accountant, insurer or professional advisers, where they need it.
- Anyone we are legally required to disclose to, such as HMRC or a court.
If you were introduced by an estate agent or solicitor acting for you, we will normally send the certificate to them as well as to you, because that is usually the reason the work was instructed.
How long we keep it
Enquiries that do not lead to work are deleted within 12 months.
Records of completed assessments and the associated invoices are kept for six years after the end of the relevant tax year, which reflects HMRC's requirements and the period in which a claim could be brought. Some assessment records are kept for longer where an accreditation scheme requires it.
Anti-spam records are kept for minutes, not days, and are deleted automatically.
Cookies and similar technologies
This site sets no cookies. It has no analytics, no advertising trackers and no social media buttons, and it does not load fonts, maps or embedded content from other companies — the fonts are served from this website itself, so no third party sees your visit.
If you use the cookie settings panel, your choice is stored in your browser's local storage so we do not ask again. Nothing is sent to us, and clearing your browser data removes it.
Should we ever add anything that stores information on your device or shares it with another company, it will be switched off until you agree to it. You can review this at any time from cookie settings.
Where your information is held
Our website and email are hosted in the United Kingdom. If any provider we use processes information outside the UK, we make sure the transfer has a lawful safeguard in place, such as the UK's International Data Transfer Agreement.
Keeping it secure
This site is served over an encrypted connection, enquiries are transmitted to us over an encrypted mail connection, and access to our systems is limited to the two directors. No system is perfectly secure, but if a breach affected your rights we would tell you and the Information Commissioner's Office as the law requires.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is wrong or incomplete;
- delete information we no longer have a reason to keep;
- restrict what we do with it while a question about it is resolved;
- provide it in a portable format, where we hold it electronically on the basis of your consent or a contract;
- stop relying on legitimate interests, by objecting to that use.
Some of these rights have limits. We cannot, for example, remove a certificate from a statutory register, or delete accounting records we are legally required to retain.
To exercise any of them, email info@humphriesodoom.co.uk. We will respond within one month, and there is no charge.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
If we change how we use personal information we will update this page and change the date at the top. Where a change materially affects you, we will tell you directly.
